WHY MIGRATE TO K2 FIVE
K2 Five is a complete redesign of its predecessor and provides a new level of simplicity for our on-premise customers. Some of the new features only available in K2 Five include:
- App Wizard provides a wizard-based interface for creating an application in four simple steps.
- Workflow Designer has been completely redesigned to provide more intelligent workflow capabilities for users who are less familiar with the technical details of implementing an error-free application.
- Authorisation Framework has been updated to provide security for K2 applications, making it easier than ever to govern who uses and modifies K2 applications and components like Forms and SmartObjects.
The K2 Five migration from prior versions of K2 is not complex – and K2 Services is here to help your organisation define upgrade plans to ensure a successful migration. There are a few different approaches our team can take which include: Quick Migration, Assistive Migration, and Full Service.
A quick migration is intended for customers where the majority of applications are .NET based and no changes to the workflows are planned. This is an upgrade only approach and intended for customers who want to leverage the new K2 Five features on future builds but do not have the time or budget to migrate existing applications to K2 Five.
By taking this approach, organisations can utilise upgrades, allowing them to save on hardware and retain all the current components on the server. The typical duration for this approach is about 1 to 2 weeks.
An assistive migration is targeted towards customers who want to migrate to K2 Five in a progressive way over an extended period. This upgrade/migration is intended for customers who have a sizable number of applications on .NET and SmartForms, or just SmartForms, and would like to convert workflows to native K2 Five or make modifications to existing workflows. These applications are simple, typically only 1 to 2 levels of approvals, have limited data fields, and no back-end integrations.
With this approach, the customer engages with K2 Services to perform the upgrade and assist, side-by-side, with a targeted number of migrations in the early stages. Workflows may be either migrated as-is, rebuilt, or modified. Any new workflows will be developed on K2 Five. This approach enables the customer to continue migrations on their own after a set period.
A full-service migration is intended for customers who want to migrate all of their legacy components via phases or via a full migration a.k.a. “Big Bang approach”. This will allow for a gradual migration by running different versions of K2 in parallel (i.e. a 4.x environment alongside a K2 Five environment). All 4.x workflows will be converted to K2 Five workflows over time. This approach works best for customers who want to move completely off K2 4.x and go K2 Five. With this approach, the customer engages with K2 Services to perform the upgrade, plan the migration, and execute on conversion, deployment, and testing. This is a larger engagement and leverages experienced K2 consultants to speed up the migration progress, using migration tools (when applicable) to reduce effort and speed up migration durations. Typical durations for this approach are 3 to 6 months depending on the number and complexity of applications.
Regardless of the approach, K2 helps guide our customers and accurately estimates migration efforts upfront, identifying potential challenges early during the assessment cycle. We design a tailored plan aligned to a customer’s environment using K2 best practices and standards to efficiently migrate your legacy processes to K2 Five.
K2 begins with an assessment of your K2 upgrade and migration objectives based on your current K2 environment setup, configuration, applications, content, and customisations. We then inventory your applications, identify conversion candidates, run tools to analyse conversion rates, take into consideration technical, business, and budgetary constraints, and estimate the conversion effort.
After the initial assessment and planning, we use a phased approach, reducing risk to the customer, allowing us to handle the migration progress in a controlled, iterative manner. K2 has a tried and tested methodology to upgrade and migrate applications to K2 Five in a repetitive and successful manner.
